The Role
We are seeking a highly organized, professional, and business-savvy Executive Assistant to support an SVP within our Sales organization. This role is a critical force multiplier, enabling the SVP to focus on revenue-driving priorities by seamlessly managing their time, communications, and the operational rhythm of the business. You will support the SVP in managing tasks across internal decision-making meetings and external, customer-facing priorities, working across Sales and other critical cross-functional teams. You will also be a core planner for strategic and community events for the sales management team.
The Impact You Will Have
As a strategic partner, your primary goal is to ensure the SVP is operating at maximum efficiency and effectiveness. Your responsibilities will include:
- Calendar Management: Organizing all meetings, including complex scheduling of team meetings, offsites, customer, and internal team member meetings across multiple international time zones.
- Logistics Coordination: Scheduling and managing logistics for key internal meetings, high-stakes conferences, and special events (onsite & offsite).
- Executive Preparation: Proactively manage the rhythm of the business, ensuring the SVP is fully prepared for all critical meetings, customer engagements, travel, interviews, and executive briefings.
- Information Flow: Organize and prioritize multiple work activities, filtering and managing communication flow to the SVP to maximize their availability and focus.
- Meeting Ownership: Own the coordination and execution of weekly staff meetings, including developing and distributing agendas, capturing concise meeting notes, and tracking key action items to completion.
- Team Contribution: Act as a core contributor and collaborative partner to the broader Admin/Operations team, supporting planning for key meetings, off-sites, events, projects, and professional growth initiatives.
- Operational Support: Provide backup support for other executives and work with the executive team on site-specific programs/facilities (i.e., recruiting events, office events, etc.).
- Travel Management: End-to-end management of complex domestic and international travel and logistics.
What We Look For:
- Experience: 3+ years of applicable experience supporting a C-level or SVP-level executive in a global, high-growth technology or software organization.
- Executive Partnership: Demonstrated experience serving as a trusted partner and gatekeeper to senior executives and their direct reports.
- Technical Proficiency: Proficiency with Google Workspace for calendaring, email, presentation, and document management.
- Meeting Tools: Experience with the setting up and management of virtual meeting platforms and tools.
- Sales Acumen: Prior experience supporting a senior executive go-to-market (GTM) or sales leader.
- Anticipation: Exceptional organizational skills and a highly proactive, anticipatory working style; the ability to identify needs and solve problems before they arise.
- Communication: Impeccable written and verbal communication skills with the professional maturity to interact with internal leadership and external, high-value customers.
- Collaboration: Strong teamwork skills and an ability to offer suggestions and improvements to process and work very collaboratively with others.
- Event Management: Proven experience running events/offsite events (virtual/physical) for executive leadership teams.
