Databricks Executive Assistants are strategic partners who drive efficiency, foster collaboration, and enable our most senior leaders to scale their impact. As we continue to expand globally, we are seeking an experienced Executive Assistant in Serbia to support our Sales leadership team and VP. This role will work closely with Executives in Serbia, and across regions, managing complex calendars, orchestrating high-impact meetings and events, and serving as a trusted liaison with internal and external stakeholders. Occasional travel may be required to support critical company initiatives and events.
Impact you will have:
- Managing 2 - 4 VPs calendars efficiently so their time is optimised, making smart prioritisation decisions about which meetings to schedule and which to push out
- Ensure all necessary pre-meeting preparations are in place so that meetings are efficiently executed
- Keep key stakeholders fully briefed on upcoming meetings and that all participants are aligned with the schedule and expectations
- Organize domestic and international travel arrangements with attention to detail and efficiency
- Manage and process expenses and contracts with both internal and external stakeholders
- Proactively take on additional duties or projects that may be reasonably required, plan and execute upon those projects, and deal with matters arising in a timely and effective manner
- Collaborate with the Admin/Ops team by engaging with colleagues to support planning for meetings, off-sites, events, projects, and professional growth
What we look for:
- 7+ years of executive administrative experience, preferably in a global technology or software organization.
- Exceptional communication skills and strong follow-through, with the ability to influence and collaborate at all levels.
- Demonstrated ability to exercise sound judgment and make independent decisions in ambiguous or high-stakes situations.
- Advanced calendar management skills (Gmail and Google Calendar expertise required), with a proven track record of supporting multiple executives across time zones. Expert skills managing multiple time zones.
- Exceptional organizational, time-management, and prioritization skills; able to manage multiple complex projects simultaneously and derive priorities from high-level goals.
- Experience planning and executing large-scale meetings, events, and travel logistics, including budget management and vendor coordination.
- Excels in travel and expense management, with meticulous attention to detail and process.
- High level of discretion in handling sensitive information and confidential matters.
- Strong relationship management skills; enjoys the challenges of working with a diverse range of people and projects.
- Experience proactively identifying and driving process improvements.
- Proactive, solution-oriented, and adaptable to changing priorities and environments.
- Comfortable learning new tools and systems at pace.
- Experience in a fast-growing, high-performing, and diverse technology organization is highly desirable.
- Expected to demonstrate flexibility and occasionally adjust their schedules to support executives’ needs after regular office hours
